Human Resources Coordinator - Academic Human Resources

Applications are invited for the position of Human Resources Coordinator. This position is a 100% full-time, benefits-eligible Academic Professional position. The Coordinator reports to the Associate Director, Academic Human Resources. Salary is commensurate with experience.

The incumbent in this position will serve as primary liaison between campus units, campus human resources and university level units in the use of Human Resources (HR) related technology. Serve as strategic partner in analyzing initiatives, processes and/or procedures to improve efficiency and accuracy.

Responsibilities include:

  • Serve as coordinator for projects requiring in depth research on a variety of HR topics and/or issues. Analyze information and presents written assessment and recommendations based on findings, along with visual and statistical representation of data when appropriate
  • Coordinate data collection, including process workflow and/or systems review as needed
  • Serve as primary liaison for related university human resources software initiatives during design, development, testing and upgrade requiring in depth knowledge of academic appointments policies and procedures ((HireTouch, Position Tracking, Human Resources Front End (HRFE)). May include testing and/or coordinating campus involvement in testing system functions, documenting system issues and communicating testing results with project technical staff
  • Serve on university groups responsible for assessing the effects of proposed initiatives or system implementations on the business processes for Staff and Academic Human Resources offices and campus level business and administrative offices. Analyze current HR forms, work flows and business processes and recommend University-wide HR business processes and design of new web-based applications
  • Implement AHR communications initiatives including, but not limited to, use of social media and web presence. Identify problems and issues facing the campus human resources environment and develop recommendations for solutions. Work with others toward their resolution through information sharing and formal escalation processes when necessary
  • Initiate and respond to communications between the Urbana campus HR offices, Urbana campus representatives and HR Users, and university administration staff on recommended initiatives or systems
  • Work closely with AHR leadership team on a variety of issues
  • Coordinate training for related HR systems, including needs analysis, process flow, document development and delivery which may include any or all of documentation, website update, in person delivery, webinar delivery. Systems include, but are not limited to, HRFE, Tracker Electronic I-9, HireTouch, Position Tracking, and other systems as they become available
  • Analyze incoming information requests and develop recommendations for remedial efforts to reduce frequent topics of inquiry. Work with AHR staff to collect data/information in order to better communicate policies including internal job aids/campus job aids and training materials/FAQs/website update
  • Administer AHR activities related to the HireTouch system. Ensure there is a high level of customer support for the system. Work closely with Office of Equal Opportunity and Access and Human Resources Information Systems staff on HireTouch and hiring policies and processes
  • Document topic areas for AHR leadership team portfolios. Document and routinely update AHR contact/functional information to ensure queries and issues are routed appropriately.

Required Qualifications:

  • Bachelor's degree
  • Minimum of 5 years' experience, preferably in a university setting

Preferred:

  • Master's degree, prefer at least one degree in human resources
  • Professional Human Resource certification

Knowledge Requirements:

  • Must have analytical skills and ability to understand and utilize various HR applications. Must develop knowledge of university-specific applications including, but not limited to, HRFE, Tracker Electronic I-9, Banner, self-service web applications such as NESSIE, New Hire, DART, NEWT
  • Must have extensive knowledge of the University policies and procedures related to the academic employee groups
  • Must maintain an awareness of the differences between academic and other employee groups
  • Must be aware of regulatory changes which would impact HR policies, processes and systems
  • Must possess the ability to communicate effectively with individuals and large groups
  • Must have ability to analyze data and must possess process mapping skills
  • Must have ability to research, analyze and develop recommendations/reports on a wide variety of HR initiatives and issue
  • Requires an ability to become well versed in academic policy, general HR principles and above average communication skills as well as use of technology.
